Overview:

The Health Records Clerk is responsible for the accurate organization, maintenance, retrieval, scanning, and filing of patient health information in both paper and electronic formats, while ensuring compliance with hospital policies, legislation, and departmental guidelines including the Personal Health Information Protection Act (PHIPA). This role supports the efficient operation of the Health Records department by performing chart analysis, auditing scanned documents, maintaining data integrity, preparing reports and statistics, coordinating records flow, and responding to requests for patient information. Additional responsibilities include reception and administrative duties, supply management and participation in departmental quality improvement initiatives and other projects as assigned.

 

Qualifications:

• Graduate of an approved Medical Secretarial program of a community college

 

Required Skills:

• Minimum of two years’ recent experience (within the last 3 years) in a Health Records department
• Demonstrated knowledge of anatomy, physiology, disease processes, and pharmacology
• Demonstrated knowledge and expertise of computers and use of software

 

Abilities:

• Ability to assess requests and prioritize them
• Ability to handle stressful situations
• Ability to prepare correspondence and reports; as well as, sort, review and file various documents
• Ability to work independently and as a team member
• Demonstrate initiative and good judgment in problem solving and identifying opportunities for action
• Excellent understanding of Medical Terminology and Pharmaceutical terms
• Excellent verbal, written, telephone and computer skills
• Excellent demonstrated grammar skills
• Flexibility and adaptability
• Demonstrated good health and attendance record required
• Maintain an effective working relationship with patients, physicians, hospital staff and public
• Professional demeanour
• Proven organizational, analytical service orientation
• Consistently meets attendance expectations, demonstrating reliability and commitment to scheduled shifts
